TO: All staff of Fabrication and Paint-shop Department
FROM: Kassim Baba, Chief Operating Officer
SUBJECT: Department Merger
Company needs
Even though we have been enjoying rapid growth recently, we are continuously looking for opportunities to increase our business. To take our performance to the next level, our company needs to restructure so we can support expansion into new markets for better growth and profitability, be more responsive to customer needs and be able to implement new technology. This is important to us as competition intensifies.
Fabrication-Paint Department(F&P)
We have decided that it is only wise that we rationalize sooner rather than later. The Board has unanimously agreed to merge the Fabrication Department with Paint-Shop Department as the first measure to maintain the consistency of our performance and to support our plans as stated above.
The new department is scheduled to be effective from 2nd January and will be known as the Fabrication-Paint Department or for ease we can refer them as F&P. To enable the smooth transition process of the merger we would like your fullest cooperation during the merger.
Effects of merger
At this point, we would like to stress that as a people-centered company and to be in-line with our policy, there will be no job-redundancies. Furthermore the company has also decided that staff be paid relocation allowances as appropriate during the merger. New equipment, furniture and fittings are expected to arrive on 18th December and staff will move a week later.
Process
To merge the two departments, the senior management has to first outline the customer needs and business requiremnet of the merger, then senior management will have to discuss and be clear about the business objectives and KPIs of the merged deparment. When these two stages are completed, then the improved business processes need to be defined and revisions to the documentation have to be written. Upon completion of these items, the final stage would be to write the new specifications for technology and IT systems.
Staff changes
With the merger, we are re-orgsnising the management in these departments. En Hassan Jaafar of the Fabrication Department will be the Manager of the merged department from his current Assistant Manager position. Seygar Sethu will be promoted to Assistant Manager from his Senior Executive position. Wong Soon Kit will be promoted from Executive to Senior Executive in charge of fabrication and paint-shop. Cheong Han will be promoted to be the Senior Technician of the integrated departments and Kamarul Ahmad will be promoted Production Supervisor from Line Leader.
Effective Dates
The new management team will be effective from 2nd January. The new management team will announce their plans to their staff especially on organizational chart and seating arrangements by 15th December.
